From Order to Accounts.

Omono for operations. Xero for accounting.

Know what goes to Xero.

A clear handover from operational records to accounting.

Contacts

Customer and supplier companies are sent as Xero contacts, with account details and subsequent company updates.

Sales invoices

Shipping a dispatch creates its invoice in Omono. The invoice is sent to Xero on the next sync, with a link back to the Omono sales order.

Supplier bills

A received delivery with a supplier invoice number is sent as a bill, linked back to the purchase order.

Credit notes

Completed customer credit notes are sent to Xero alongside the other accounting documents.

CONTROL THE HANDOVER

Choose when to sync. See what happened.

Run a sync on demand or choose a schedule, from every 15 minutes to once a day. Configure whether invoices, bills and credit notes arrive in Xero as Draft, Submitted or Authorised.

Map sales and purchasing analysis codes and tax rates to Xero. Sync logs show successful transfers, warnings and errors, with links to the records that need attention.

Check credit before shipping.

Use Xero’s outstanding customer balance as part of the dispatch decision.

Enable pre-shipping credit-limit checks to compare the outstanding balance plus the dispatch value with the customer’s limit. Choose whether an over-limit dispatch is blocked or can proceed with a warning, including an admin-only override option.

If Xero cannot provide a balance, Omono warns the user and allows a manual decision. Proforma payment and shipping-blocking task controls are checked separately.

A FEW PRACTICAL QUESTIONS

Good to know.

What information does Omono send to Xero?

Omono sends company contacts, invoices for shipped dispatches, bills for received deliveries with supplier invoice numbers, and completed credit notes. Company updates are sent again when changed; accounting documents are sent once, so later corrections need attention in Xero too.

How often does Omono sync with Xero?

Choose manual syncing or an automatic interval: every 15 minutes, every hour, every four hours or once per day. Sync logs show what was sent and any records requiring attention.

Is the Xero integration a full two-way sync?

No. Omono sends operational accounting records to Xero and reads information needed for mapping and checks, including customer balances for credit checks. It does not import Xero contacts, invoices or payments into Omono.

Can Omono check customer credit limits before dispatch?

Yes. When enabled, the check compares the customer’s outstanding Xero balance plus the dispatch value with their limit. Settings control blocking and overrides. If the balance cannot be checked, the user receives a warning and can make a manual decision.
